Welcome to PsycheCare Clinic ("we," "our," "us"). These Terms and Conditions govern your use of our website, online booking system, and psychological services. By accessing or using our services, you confirm that you are at least 18 years old (or have parental/guardian consent), and that you agree to be bound by these terms.

2. Services

PsycheCare provides outpatient psychological and counseling services including, but not limited to: individual psychotherapy, couples therapy, child and adolescent psychology, trauma-informed care, anxiety and depression treatment, and stress management.

Our services are provided by licensed psychologists and qualified mental health professionals. All practitioners hold valid state licenses and are members of recognized professional organizations.

Important: Our services do not constitute medical advice or diagnosis. We do not prescribe medications. If you require medication management, please consult a licensed psychiatrist or physician.


3. Privacy Policy

We take your privacy seriously. Information we collect includes your name, contact details, appointment history, and information you share during sessions. We use this information to:

  • Schedule and manage appointments
  • Provide you with psychological services
  • Communicate important updates about your care
  • Comply with legal and regulatory requirements

We do not sell, rent, or share your personal information with third parties except as required by law, with your explicit consent, or when necessary to provide your care (e.g., specialist referrals with your knowledge).

Your data is stored securely using industry-standard encryption. You have the right to access, correct, or request deletion of your personal data at any time by contacting us.


4. Confidentiality

Confidentiality is a cornerstone of psychological practice. All information disclosed during therapy sessions is strictly confidential and protected by law and professional ethics.

Exceptions to confidentiality exist in the following circumstances as required by law:

  • When there is a serious and imminent risk of harm to yourself or others
  • When child, elder, or dependent adult abuse or neglect is suspected
  • When a court order requires disclosure
  • When you provide written consent to release information

In such cases, we will disclose only the minimum necessary information and, when possible, will discuss this with you beforehand.


5. Data Protection (HIPAA/GDPR)

We comply fully with the Health Insurance Portability and Accountability Act (HIPAA) and, where applicable, the General Data Protection Regulation (GDPR). Your protected health information (PHI) is handled with the utmost care.

We implement technical safeguards including encrypted databases, secure SSL connections, access controls, and regular security audits to protect your information. Our staff receives regular training on data privacy and security.

Data is retained for a minimum of 7 years as required by law, after which it is securely destroyed. You may request a copy of your records at any time.


6. Cancellation & No-Show Policy

We understand that life is unpredictable. Our cancellation policy is designed to be fair to both clients and our practitioners:

  • 24+ hours notice: Free cancellation. No charge will apply.
  • Less than 24 hours notice: A cancellation fee of 50% of the session fee may apply.
  • No-show: Full session fee may be charged for missed appointments without notice.

Cancellations can be made through your client portal, by calling our office, or by emailing us. We reserve the right to discontinue services to clients with repeated no-shows.

We will make every effort to contact you in advance if your practitioner is unavailable. In such cases, we will reschedule at no charge or provide a full refund.


7. Payment Terms

Payment is due at the time of service unless prior arrangements have been made. We accept cash, major credit/debit cards, and health savings accounts (HSA/FSA).

Session fees vary by practitioner and service type. Fees are displayed on our website and will be confirmed when booking. We strive to make services accessible and offer sliding scale fees for qualifying clients — please contact us to discuss.

Insurance: While we do not directly bill insurance, we can provide a superbill (detailed receipt) that you may submit to your insurance provider for potential reimbursement. Please check with your insurance about out-of-network mental health benefits.

9. Limitation of Liability

To the maximum extent permitted by applicable law, PsycheCare shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or goodwill, arising from your use of our services.

Our total liability for any claim related to our services shall not exceed the amount you paid for the specific service giving rise to the claim.
